Student & Instructor Flow
Student Program Requirements
Before completing an application, the School / School Representative must:
- Have an active academic affiliation agreement with Aspirus
- Attest that the student(s) / instructor(s) will meet all health requirements prior to rotation start
- Attest that student(s) / instructor(s) completed a background study
- Attest that student(s) / instructor(s) complete proper N-95 mask fit testing prior to rotation start (if applicable)
- Attest that schools will maintain and provide all proper documentation upon request

Application Timeline
Student
At least 6 weeks prior to the rotation starting,
a School Representative must submit a Student Placement Application (available below)
Students will receive a link to complete their onboarding,
which must be completed within 2 weeks.
Once the placement is confirmed & the student completes onboarding,
they will receive an acceptance email.
Instructor
At least 6 weeks prior to the rotation starting,
an Instructor will complete an Instructor Application (available below).
Instructors will receive a link to complete their onboarding & must complete it
no less than 4 weeks prior to the start of the rotation.
Once onboarding is complete, Instructors will receive a clearance email
with further logistical information.

Frequently Asked Questions
What are Aspirus’ health requirements?
- Proof of immunity to:
- Rubella, Rubeola (Measles), and Mumps via two vaccinations or titer showing immunity
- Varicella (Chicken Pox) via two vaccinations, a titer showing immunity or doctor approved verification for Varicella specifically
- TB testing and/or TB counsel/treatment for past positive testing, in compliance with your school requirement
- If your school does not have a TB health requirement, please follow Aspirus Health’s recommendation of a negative TB test 12 months prior to first rotation at Aspirus
- Participation in the (seasonal) Influenza & COVID-19 Safety Programs
- Valid vaccination or declination form required
- Masking is a requirement during the entirety of the Flu Season if Influenza Vaccination declined
- These seasonal policies are reassessed annually and the updated requirements are released in the fall
- Note: Health requirements are subject to change at the discretion of Aspirus Employee Health
What clinical skills can students perform?
- Students are allowed to perform core clinical skills in which their competence has been validated by their attending academic institution and with clearance from their clinical instructor
- Lab Point of Care Testing: Students will be permitted to conduct lab point-of-care testing only under the direct supervision of Aspirus staff. Instructors are not authorized to perform lab point-of-care testing under their credentials and should direct students to collaborate with onsite staff for these activities.
- Students/Instructors will not:
- Perform administration of blood or blood products
- Receive verbal or telephone orders
- Verify informed consent
- Perform other skills as outlined by students’ academic institution

What if my school doesn’t have an academic affiliation agreement with Aspirus?
- Please reach out to students@aspirus.org who will put you in contact with the corresponding team
- Note: Aspirus has a standardized agreement that will be used to establish this academic affiliation. The approval process varies from weeks to several months
What does a student complete during their onboarding?
- Reviews and acknowledges Aspirus’ policies and regulatory training
- Provides seasonal Flu and Covid Vaccination information via a date/type, or completes a declination
- Completes a TB Questionnaire
- Completes EPIC training (if applicable), information will be provided one week prior to the start date.
- Note: Students do not need to send health requirement documentation to Aspirus unless specifically requested
What does an instructor complete during their onboarding?
- Reviews and acknowledges Aspirus’ policies and regulatory training
- Provides seasonal Flu and Covid Vaccination information via a date/type, or completes a declination
- Completes a TB Questionnaire
- Provides a headshot photo for badge creation (if applicable)
What happens if there is a flag on a student’s/instructor’s background check?
- If the background check is flagged, the school representative will work with the Student Coordination Team and Aspirus HR to determine acceptability. Aspirus has the right to decline a student for rotation if the charge/conviction could affect patient care or safety.
When does a student/instructor receive their IT credentials?
- A student/instructor will receive their IT credentials one week prior to being on-site, if applicable
- Note: If onboarding is completed after the established deadline, IT access may be delayed
What happens when a student/instructor has IT issues?
- Problems with your Epic training, Pyxis, or Rover:
- All other problems
What if I need N-95 Fit testing for my rotation?
- Reach out to your school’s coordinator, as many offer N-95 Fit Testing
- If your school doesn’t have resources available, please reach out to students@aspirus.org
